Note takers work in classes, seminars, practicals and occasionally for additional activities such as field trips.
Note Taker responsibilities:
- provide clear, legible and comprehensive notes, taking into account the particular needs of the student;
- Maintain professional boundaries;
- Note takers must adhere to the: Confidentiality policy; Deakin Code of Conduct.
Prior to first session: |

Arrange a time and place to meet with the student prior to the first seminar; Discuss if the student would prefer handwritten or typed notes as well as preferred seating arrangement. |
During Sessions
- Classes - notes are provided regardless of student attendance;
- Seminars - notes are only provided when the student attends;
- Deakin College – notes are only provided when the student attends;
- Introduce yourself to the academic staff prior to first session and advise them of your role;
- Respect the student’s privacy and personal learning space;
- Remain unobtrusive and do not actively participate in the session;
- If a student fails to arrive to a seminar, wait 20 minutes, do not provide information about what was covered prior to the student’s arrival. It is the student’s responsibility to follow up missed information;
- If the student does not show after 20mins, contact the DRC on 9244 6255 or email asw@deakin.edu.au. This also applies if the student contacts you prior to a seminar, notifying you they will not be attending;
- Do not provide a copy of the notes to others, unless notified by the DRC.
After classes
- Notes should be provided (via email to the student with asw@deakin.edu.au CC'd in) to the student as soon as possible following the session but no later than 24 hours from the completion of the session or from when the recording is available on the Unit site;
- If providing notes to multiple students in the same session you will need to send separate emails to each student with notes attached. DO NOT include multiple students in the same email thread.
It is NOT the responsibility of the note taker to:
- Tutor the student on the content of the session;
- Assist the student in the preparation of assignments;
- Photocopy study material for students;
- Print lecture notes for the students;
- Answer for the student’s academic progress;
- Provide verbatim transcript of the classes.
Administration:
- Where possible, provide at least 24 hours’ notice to the DRC, if you are unable to attend a booked session due to illness or emergency. Academic Support Workers will not be paid for any session they do not attend;
- Provide the DRC with at least 1 weeks’ notice if you need to make changes to your availability;
- Comply with Deakin University’s Occupational Health and Safety policy;
- Regularly complete and submit timesheets via Deakin People;
- You will receive full payment for the booked session:
- If it is cancelled by the student or academic staff member with less than 24 hours’ notice; AND
- If the equivalent hours cannot be found for you in an alternative shift on the same day.
